01Who we are

Pi Rooms is made by Proactive Intelligence, based in London, United Kingdom. You can reach us at support@proactiveintelligence.run or through the contact page. "We", "us" and "our" mean Proactive Intelligence. "You" means the person or company using Pi Rooms.

02What Pi Rooms is

Pi Rooms is a meeting space with Pi, an AI assistant, built in. Pi listens to your meeting, answers your questions privately (Pi Whisper), keeps the thread of every meeting with the same people (Pi Threads), and does tasks you ask for out loud, like booking the next meeting and sending invites (Pi Work). Features change as we build. We'll tell you when something you rely on is removed.

03Your account

You must be 18 or over and give us accurate details.
Keep your sign-in to yourself. What happens under your account is your responsibility.
One subscription covers one company and the people you invite to it. Sharing one account across several companies isn't allowed.

04Guests

People you invite join with a link and no account. By joining, they accept these terms for that meeting. You are responsible for telling your guests that Pi is in the meeting where the law or good manners require it. Pi Whisper is private to you. Anything Pi says out loud, and the small notice of tasks Pi has done, is visible to everyone in the meeting.

05What you can't do

Use Pi Rooms for anything unlawful, or to harass, deceive or harm anyone.
Record, transcribe or share a meeting where you don't have the consent the law requires.
Copy, resell, reverse-engineer or scrape the service, or use it to build a competing one.
Put in data you don't have the right to share with us.

06Pi can be wrong

Pi answers from what you give it and what was said in your meetings. It is an AI system and it can be mistaken, out of date, or miss context. Check anything that matters before you rely on it. Pi only acts on a clear instruction from you, and reads bookings back before sending them, but you are responsible for what you ask it to do. We don't guarantee any outcome from a meeting.

07Your content

Your meetings, transcripts, notes, threads and anything you type to Pi are yours. You give us permission to process them only so we can run the service for you. We don't train AI models on your content, we don't sell it, and we don't show it to anyone outside your account except the service providers named in our Privacy Policy, who process it on our instructions.

08Our content

Pi Rooms, Pi, Pi Whisper, Pi Threads, Pi Work, the design and the code are ours. These terms don't give you any rights in them beyond using the service.

09Availability

We work hard to keep Pi Rooms up, but we don't promise it will never go down. Some features are new and marked as such; they may change or be withdrawn while we learn what works.

10Ending things

You can close your account at any time from your settings or by asking us through the contact page. We can suspend or close an account that breaks these terms, and we'll tell you why. When an account is closed we delete its content within 30 days, unless the law requires us to keep something for longer.

11Liability

To the extent the law allows, we aren't liable for indirect or consequential loss, lost profits, lost deals or lost data arising from your use of Pi Rooms. Our total liability to you in any 12-month period is limited to the fees you paid us in that period. Nothing in these terms limits liability for death, personal injury, fraud, or anything else the law says can't be limited.

12Changes

We may update these terms. If the change matters, we'll email you before it takes effect. If you keep using Pi Rooms after that, the new terms apply.

13Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
